This Privacy Policy ("Policy") sets forth information about how we handle the personal data we collect, whether through the website www.recrut.ai ("our site"), or the RECRUT.AI Recruitment and Selection System ("System"), or the RECRUT.AI Hunting Extension ("hunting extension").

This document is very important for the data owner ("You") to understand how they can make the best use of our Platform, so please read it carefully.

Data Owners

The data subject is the person to whom the data relates. We process different types of data subjects who use RECRUT.AI.

  • Visitor: A person who visits our site and may or may not fill out forms and apply for advertised jobs.
  • Candidate: Person who applies for any opportunity or vacancy created and published by our clients in RECRUT.AI's Candidate Portal
  • User: A person who is an employee or worker of the companies that hire the RECRUT.AI System. The User is responsible for managing, in any way, the selective processes of their company.
  • Professional public profile: Person whose public social media profile was captured through our Hunting Extension.

Data processing: collection and storage

For each data subject profile, we collect different data and use it for different purposes. We keep your data stored for the maximum periods described below, or until You expressly request deletion of your data.

Visitors

If You are a Visitor, we only collect the information that You provide to us by filling out forms on our site or when You contact our staff through our service channels (email, chat and forms on our site). We may collect data such as Your name, phone number, email address, occupation, and information about the company where You work. 

We keep records of our communications for a period We believe is reasonably necessary or until You request deletion or erasure of Your data, pursuant to the Brazilian General Data Protection Law.

Users

When You are a User, we collect information to set up Your account (name, company name and email address) for You to access the System and Subscription Services. We may also collect User data on the web pages and functionality of the Subscription Services in order to allow You to access, provide and improve our services.

In the case of Account Administrator Users, we collect payment information for processing service orders.  

Your data will be stored as long as You remain registered with our Services and/or subscription systems and will be deleted 30 days after termination of the contract or termination of services.

Applicants

We collect your personal data when You apply for a job opportunity or vacancy advertised by one of our "Clients" (companies that hire our System to advertise and manage job openings). 

We may collect IP address data, information about your browser, operating system, name, e-mail, phone, gender, date of birth, zip code, profile picture, whether you have a disability, profile assessment, resume and other information and documents that may be requested by our Clients. It is the Candidate's responsibility to provide truthful and updated information. To confirm your application for the position, You must confirm your e-mail.

We may collect your data when You answer our survey in the Behavioral Performance step. These responses are analyzed using the Personality Profile algorithm to map your personality traits.

This information will only be used for your participation in the selection process of the Client company to which You apply. Only RECRUT.AI will have access to your answers. Neither the recruiter will have access to the content of the answers 

In your resume only provide enough information so that the Client company knows your skills, work history, and can contact You. Try not to provide sensitive personal data in your resume. If this type of personal data is essential, the Client will request this information and inform you of the reasons for the request.

For the interview and video recording stage, you must use the ENTREVIST.AI application. Access to your interviews is made by reading the QR code or entering the code sent to your e-mail. Your video can be analyzed using artificial intelligence technologies and will only be made available to the Client company for which you have applied. This video may be stored in our database for a period of up to 6 months.

We also collect your data when You contact us or send us a request by filling out information in forms on our site. We may collect your name, email address, and information that you provide in the description of the reason for your contact. 

For each vacancy advertised by Clients, You will be required to make a new application. Your data and your answers to the profile evaluations will be stored for a period of 1 year from the date of your application for each vacancy and the date of the analysis of the answers. After this period your data will be deleted from our database.

RECRUT.AI is not responsible for any communication, request and sending of documents and information between the Candidate and Clients and their Users carried out outside the RECRUT.AI Platform. It is also not responsible for any personal data, information or documents of candidates stored by the Client company or its Users outside the Platform. 

RECRUT.AI will store the Candidates' personal data on the Platform for the period indicated in this Privacy Policy. If the Client company wishes to store Candidate data outside the Platform or for a longer period than indicated, it shall obtain the necessary consents from the Candidate for the purposes indicated.

Professional Public Profile

When the User makes use of the Hunting Extension to search for professionals through social networks (LinkedIn, Github, Behance, Stack Overflow, etc.), publicly available information is collected in accordance with the privacy preferences of the data subjects on the social networks. The information collected may include your name, email address, profile picture (avatar), location, professional profile, professional statistics, and resume. 

Our Clients only have access to this data if they have used the Hunting Extension. Your Public Professional Profile does not automatically link or enable you to participate in a Client's selection process or change your status to that of a Candidate.

Estes dados serão armazenados por até 5 anos a contar da data da primeira leitura do perfil e renovados a partir de leituras subsequentes. Os Dados Pessoais coletados e os registros de atividades são armazenados em ambiente seguro e controlado por um prazo mínimo que segue a tabela abaixo:

Para fins de auditoria, segurança, controle de fraudes, proteção ao crédito e preservação de direitos, os controladores poderão permanecer com o histórico de registro de seus Dados por prazo maior nas hipóteses que a lei ou norma regulatória assim estabelecer. Cada Cliente possui a autonomia para estruturar seu processo de recrutamento e seleção conforme sua necessidade utilizando recursos disponibilizados na Plataforma RECRUT.AI, sendo considerado e responsabilizado como Controlador em suas atividades de elaboração dos questionários e avaliações, solicitação de documentos e condução de entrevistas, de acordo com sua política de privacidade, sendo responsável por obter os consentimentos que se fizerem necessários.

 

Os Dados coletados serão armazenados em servidores localizados no Brasil, bem como em ambiente de uso de recursos ou servidores na nuvem (cloud computing), o que poderá exigir uma transferência e/ou processamento destes Dados fora do Brasil a depender do contratante e de termos previstos em sua política de privacidade e conforme o Art. 33 em seu inciso I que trata:

I – para países ou organismos internacionais que proporcionem grau de proteção de dados pessoais adequado ao previsto nesta Lei.

Nesse caso serão observados os termos da legislação vigente e será realizado aditivo contratual entre CONTROLADOR e OPERADOR ficando estes em consonância com as normas aplicadas em cada país.

In compliance with the General Law of Personal Data Protection, Law 13.709/2018 ("LGPD"), at any time You can request:

  • Confirmation that treatment exists;
  • Data access;
  • The correction of incomplete, inaccurate or outdated data;
  • The anonymization, blocking, or deletion of unnecessary, excessive, or improperly processed data;
  • The portability of your data to another service or product provider;
  • The deletion of data processed with the User's consent;
  • Obtaining information about the public or private entities with which your data has been shared;
  • The information about the possibility of not providing consent, as well as to be informed about the consequences in case of refusal; e,
  • Revocation of consent.

International Data Transfer

RECRUT.AI is based in Brazil and addresses its products to persons located in Brazil, and therefore the Brazilian law on the protection of personal data applies. However, the personal data of the data subjects may be stored outside the national territory through the cloud computing service. 

Such transfers are made only to companies that are in compliance with data protection legislation and that maintain a level of protection similar to or more stringent than that provided by Brazilian law.

Sharing of personal data

We use third party vendors and hosting partners to provide the hardware, software, networking, storage and other technologies and services necessary to operate and maintain our website and our System. In the process, we may be required to transfer some of your personal information stored in our database to these vendors and partners.

We do not share, provide, sell, rent or loan data subjects' personal information to third parties unless:

  • It is necessary to share information to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of the Terms of Service of the specific Service, or as otherwise required by law
  • Are required to do so by legal or judicial determination
  • We are acquired by or incorporated into another company

 

The information shared will be that which is essential to fulfill the purpose of the service provision or fulfillment of the obligation and will be protected by secrecy and confidentiality. The data will be transferred using a secure connection and best practices to ensure the security of the information.

Safety measures

The security of all personal information is a priority for us. And we understand that the security of any data we process is of great importance to You and our Customers. 

We will always use our best efforts and available technologies to protect the personal data of users, especially those considered sensitive. When You provide Your data, it is stored in secure databases and any files (photos and resume, for example) are stored using 256 bit encryption.

We emphasize that no known method used today for data transmission via the internet or electronic storage is 100% secure. Therefore, it is important that You also have a secure behavior, identifying and avoiding situations that may threaten the security of your data. 

We suggest some precautions you can take to protect your information:

  • Change your passwords periodically.
  • Don't share your password or divulge personal data on sites You don't know.
  • Always click the exit button when you are no longer browsing a website.
  • Choose passwords with at least eight characters. For a secure password mix uppercase and lowercase letters, numbers and special symbols (#, @, *, &, %, _ or -)
  • Don't create passwords using your name or special dates, such as a birthday.
  • Keep your password in a safe place.
  • Keep your data always up to date.

It is also very important that You know that we do not send electronic messages requesting data confirmation or with attachments that can be executed (extensions: .exe, .com, among others) or even links for eventual downloads.
